Personal data we collect and why

• Account data (name, email address, password credentials managed by our authentication provider, or Google sign-in identifiers) to create and secure your account. Legal basis: performance of our contract with you.
• Business profile data (business name, address, phone number, logo, contact email) so your plans, quotes and invoices carry your own branding. Legal basis: performance of our contract.
• Project content (job descriptions, voice notes you record, transcriptions, customer names and addresses you enter, materials, labor estimates, schedules and documents you generate) to provide the service you asked for. Legal basis: performance of our contract.
• Support messages (your name, email, topic and message) to answer your questions. Legal basis: performance of our contract and our legitimate interest in supporting customers.
• Usage and technical data (IP address, device and browser information, pages viewed, error and diagnostic logs) to keep the service secure, diagnose faults and improve the product. Legal basis: legitimate interests in security and product improvement.
• Trial and subscription status (trial start and end dates, subscription state) to control access to paid features. Legal basis: performance of our contract and compliance with legal obligations.

Voice recordings you submit are sent to our speech-to-text and AI model providers solely to produce the transcription and plan you requested. We do not use your project content to train our own models.

Who we share data with

• Service providers and subprocessors: hosting, database and authentication infrastructure, email delivery, AI transcription and text generation providers, and error monitoring. They act on our instructions under written agreements.
• Merchant of Record: Paddle.com handles the sale of subscriptions, subscription management, payments, invoicing, tax compliance and refunds. Paddle processes your billing details directly; we do not store your card data.
• Professional advisers such as our accountants and lawyers where necessary.
• Authorities where we are required to disclose data by law, or to protect our rights.

Retention

We keep your account, profile and project data for as long as your account is active. If you close your account or ask us to delete it, we delete or anonymise your data within 90 days, except where we must keep records longer for tax, accounting or legal reasons. Support correspondence is kept for up to 24 months. Security and diagnostic logs are kept for up to 12 months.

Your rights

Depending on where you live, you may have the right to access the personal data we hold about you, to correct it, to ask us to delete it, to restrict or object to certain processing, to receive a portable copy, and to withdraw consent where we rely on it. You may also have the right to opt out of marketing at any time, and to complain to your data protection authority. To exercise any of these rights, email justokarell@chlorine.com. We respond within one month.

International transfers

We are based in the United States and our providers may process data in the United States and other countries. Where personal data is transferred out of the UK or EEA, we rely on appropriate safeguards such as the European Commission's standard contractual clauses or an applicable adequacy decision.

Security

We use appropriate technical and organisational measures to protect personal data, including encryption in transit, encryption at rest for stored data, row level access controls so each account can only reach its own records, and restricted administrative access. No system is perfectly secure, so please use a strong, unique password.

Cookies and local storage

We use strictly necessary cookies and browser storage to keep you signed in, to remember your session and to count free demo uses on the website. We do not use advertising cookies. You can clear or block cookies in your browser settings, but the workspace will not stay signed in without them.

If we make material changes we will update the date at the top of this page and, where appropriate, notify you by email.
